Before you start
You need three things:
Sage 200 Standard, the cloud edition. Sage 50 and Sage 200 Professional can't be connected.
A Sage login that is a user on the Sage 200 company you want to import. If you can open that company in Sage 200, you're set.
An admin account here. Only admins can open Integrations and run a sync.
The connection only reads your posted purchase ledger: supplier invoices, credit notes and payments. Nothing is written back to Sage.
Step 1: Open Integrations
Select the settings cog at the top right, then Integrations under Admin settings. Choose the Sage 200 Standard tile.
Step 2: Select Connect
Until you connect, the page shows Connection Not Established. Select Connect and you're taken to Sage to sign in.
Step 3: Sign in to Sage and allow access
Sign in with your Sage account. Sage may ask you to complete a quick security check first. When Sage asks whether to allow access, approve it.
You're brought back to the Sage 200 Standard page. It lists every company your Sage login can reach, each marked Active. From here you can also map your nominal codes and schedule automatic syncs.
Step 4: Start a sync
Go to Emissions, then Spend Based Emissions. Check the year selector at the top shows the reporting period you want: a sync imports transactions dated within that period. Select Sync Data, then Sage 200 Standard.
Step 5: Choose the company
If your Sage login reaches more than one company, pick the one to import and select Sync Data. With a single company, the sync starts straight away.
Step 6: Review and commit
When the sync finishes, a summary shows how many invoices, credit notes and payments were fetched, how many were imported, and why any were set aside. Imported lines wait in Pending Via Integrations. Credit notes arrive as negative amounts and reduce that supplier's spend.
Each line shows the activity it will be calculated against, and where that came from:
Label | What it means |
Nominal code 5000 | Your mapping for that nominal code set the activity |
Supplier default | The supplier's saved default activity |
Supplier match | Matched from the supplier's name, with a confidence level |
Set by you | Someone chose it on this screen |
Mixed codes | The document posts to more than one nominal code, so it keeps the supplier's activity. Worth a check. |
Correct any activity that's wrong, tick the lines you're happy with and select Commit Selected. Committed lines become emissions in your footprint. Discard Selected moves lines you don't want to the Discarded tab.
To have lines classify themselves on every sync, select Map account codes and give each nominal code an activity, or mark it as excluded.
If something goes wrong
What you see | What to do |
"You have no companies associated with this connection" | Your Sage login isn't a user on any Sage 200 Standard company. Ask your Sage administrator to add you, then reload the page. You don't need to reconnect. |
Only payments came across, no invoices | Bill import is off for your organisation. Turn on Import Supplier Bills from Accounting Syncs under Settings, Overview, then sync again. |
"Records already up to date" | That period was already synced today. New transactions come across on the next day's sync, or set up a schedule to sync automatically. |
You use Sage 50 or Sage 200 Professional | These can't be connected. Export your purchase transactions to a spreadsheet and bring them in through Import Emissions. |
You want to disconnect | Go to Settings, Integrations, Sage 200 Standard and select Disconnect from Sage200. Lines you've already committed stay in your footprint. |
