Importing Overview

Understand the four-step process for uploading data into Gaia.

Gaia’s data import tool uses a simple four-step flow to upload emissions and reference data in a structured, repeatable way. Each import follows the same process regardless of the data type being uploaded.

The four-step import process

Step 1: Choose data type

Select the type of data you want to import, such as emissions, locations, vehicles, suppliers, products, or projects. This determines the required fields and validation rules.

Step 2: Upload file

Upload your data using either a Gaia Excel template or a custom spreadsheet. Files must be in CSV or XLSX format and use the correct column names.

Step 3: Validate data

Gaia automatically checks your file for errors. You’ll see a summary of total records, valid records, and any issues that need fixing before import.

Step 4: Complete import

Once validation passes, confirm the import. Your data is committed and immediately available in the platform.
